Are you an experienced aged care admissions professional with a passion for helping families navigate one of life's most important decisions?
Our client is a well-established and highly regarded not-for-profit residential aged care provider located in Melbourne's Bayside region. Following a significant expansion, they are seeking an experienced and commercially minded Client Intake Lead to drive admissions, occupancy, and client engagement outcomes.
About the Role
Reporting directly to the CEO, the Client Intake Lead will be responsible for managing the complete admissions journey, from initial enquiry through to resident move-in.
This is a pivotal role that combines relationship management, sales capability, aged care expertise, and commercial acumen. You will work closely with prospective residents, families, hospitals, social workers, and healthcare professionals to ensure a seamless and compassionate admissions experience while supporting strong occupancy outcomes.

About the Role

You will work closely with prospective residents, families, hospitals, social workers, and healthcare professionals to ensure a seamless and compassionate admissions experience while supporting strong occupancy outcomes.
Key Responsibilities
- Manage the end-to-end admissions process for permanent and respite residents
- Conduct personalised tours and information sessions for prospective residents and families
- Convert enquiries into admissions while delivering an exceptional customer experience
- Build and maintain referral relationships with hospitals, discharge planners, social workers, and community stakeholders
- Manage waitlists and admissions pipelines to optimise occupancy outcomes
- Provide guidance on aged care fees, accommodation payments, and resident agreements
- Coordinate admissions logistics and resident transitions with internal care teams
- Maintain accurate admissions data, CRM records, and occupancy reporting
- Prepare regular admissions and occupancy reports for senior management
- Ensure all admissions documentation complies with regulatory and organisational requirements
To be successful in this role, you will bring:
- Proven experience in aged care admissions, client intake, occupancy management, healthcare sales, or a similar client-facing role
- Strong understanding of aged care funding, fee structures, resident agreements, and compliance requirements
- Demonstrated success in converting enquiries into admissions and achieving occupancy targets
- Excellent communication and relationship-building skills
- The ability to guide families through complex and sensitive decision-making processes with empathy and professionalism
- Strong organisational skills and attention to detail
- Experience using CRM systems and managing admissions pipelines
- The ability to interpret clinical information and support appropriate resident placement decisions
- A proactive and outcomes-focused approach combined with a genuine desire to support older Australians and their families
- Previous experience within residential aged care
- Exposure to occupancy management and admissions strategy
- Knowledge of ACAT/ACAS assessment processes
- Experience presenting aged care financial options to residents and families
- Qualifications in Business, Health Administration, Aged Care, or a related discipline
