Our client is a well-established Australian Wholesale Distributor with a broad product portfolio servicing national retailers and independent operators. Their Finance & Admin team is an integral part of the business, providing enterprise reporting and commercial insights that support multiple business units across the group.
The Role
Reporting to the Accounts Payable Manager, this is a senior hands-on AP role responsible for maintaining accurate and efficient reconciliations across all vendors, GL accounts, bank accounts and inventory costs. You’ll manage a small team, act as the first escalation point for supplier disputes, and play a key role in keeping month-end running smoothly across two business entities.

The Role
Reporting to the Accounts Payable Manager, this is a senior hands-on AP role responsible for maintaining accurate and efficient reconciliations across all vendors, GL accounts, bank accounts and inventory costs. You’ll manage a small team, act as the first escalation point for supplier disputes, and play a key role in keeping month-end running smoothly across two business entities.
Responsibilities will include, but are not limited to:
- End-to-end AP processing for local and overseas vendors across two entities; daily bank reconciliation
- Upload and manage high-volume invoice queues in ProSpend; ensure all approvals are obtained prior to payment
- Reconcile vendor statements, credit card statements and clearing accounts; maintain clean GL accounts
- Create new local and overseas vendors in SAP; manage trade finance balance daily
- Validate FX adjustments and multi-currency postings for overseas creditors
- Prepare batch payments across multiple bank accounts twice monthly; coordinate freight reconciliations
- Prepare month-end accruals; review aged payables; support EOM processing and external audit requirements
- Act as first escalation point for supplier disputes; identify and lead process improvement initiatives
- Other ad-hoc duties to support the team
- Extensive experience in an end-to-end AP role, ideally within a product-based or wholesale environment
- Experience processing invoices from overseas suppliers with a solid understanding of FX and multi-currency
- Working knowledge of SAP and an invoice approval platform such as ProSpend (desirable)
- Experience with eCommerce or drop-ship AP processes advantageous
- Exceptional attention to detail and accuracy; strong time management with the ability to meet strict deadlines
- Excellent communication skills; confident engaging with suppliers and internal teams in a fast-paced environment
- A proactive, can-do attitude with a curiosity to learn and a genuine commitment to continuous improvement
